Arizona Painting Company is Hiring a Commercial Coordinator Near Chandler, AZ

Duties and responsibilities

  • Follow operations procedures and company policies
  • Work as part of a team in an office environment.
  • Warm transfer calls to the correct person or department.
  • Communicate important project information to team members.
  • Schedule jobs, consultations, touch ups, warranties, and inspections for AZ offices.
  • Send the customer an email one or two weeks in advance advising them to submit color information and payment.
  • Set expectations and deadlines for information submissions.
  • Call customers one to two weeks before the start date to verify all chosen colors and placement of each color.
  • Enter the color information on the customer's invoice in Service Titan for the painters.
  • Receive payments (ANY)
  • Confirm the start date and the estimated time of arrival.
  • Set expectations with the client of what the painters will do on the first day.
  • Enter notes in Service Titan for gate, lock box codes, start times, and important information provided by the customer.
  • Order 50% - 75% of the paint on the initial paint and material order.
  • Create, and send purchase orders for ongoing jobs to the appropriate stores.
  • Keep constant communication with PM’s about schedule changes ie; move-up or push-back jobs.
  • Manage and update the booking worksheet to include availability, add or remove employees and updates to reflect any schedule changes.
  • Call Collections and update the list daily.
  • Create invoices using google sheets.
  • Fill out waivers/vendor release forms/ w-9.
  • Pre Lien properties/ Send certified formal demand letters
  • Request Certificates of Insurance.
  • New Hire Onboarding (designated person)
  • Send out daily updates.
  • Call and book sold estimate alerts.
  • Respond to emails.
  • Call back voicemails.
  • Accompany other commercial team members to networking events (during, and outside of normal business hours).
  • Perform any task provided by the General Manager

Job Type: Full-time

Pay: $20.00 - $22.00 per hour
